GISD Planetarium Field Trip Procedure

Hello everyone,
There has been some confusion about scheduling field trips to the Planetarium, so I thought I’d help clear up some of the confusion.  First, no more paperwork!  Instead, what follows are the steps in requesting buses from the Transportation Department using the TRIPS program.  To illustrate some of the process, I have pasted a sample request using the Planetarium as both departure and destination locations.

  1. In your “My Account” screen, make sure your User Role is labeled “B” and that you select “Planetarium” in the Department box (this way, the “Bill To” drop-down menu will indicate an option of either your school or the Planetarium.
  2. In the “Bill To” drop-down menu, list Planetarium – the trip to the Planetarium is out of the Planetarium’s budget, not your school’s budget.
  3. Leave Budget Code blank.
  4. Activity:  Drop-down menu to Planetarium.
  5. Sub-Activity:  Drop-down menu to Science.
  6. Indicate number of buses requested.
  7. Indicate number of riders.
  8. Choose date of the trip based upon the schedule you receive from the Planetarium.  **Each trip needs to be done separately.
  9. Departure times:  For those schools scheduled for an 8:15 departure time to the Planetarium, check the box labeled TBA.
  10. Indicate your predicted return time.
  11. Fill out the Requestor box

  13. Drop-down menu to indicate your location.
  14. Drop-down menu to Planetarium
  15. Indicate in the Notes box the following:
    1. If you need a lift-bus
    2. If you are scheduled for an 8:15 departure, indicate this here as per Planetarium Director.
    3. Any other pertinent information necessary.

***  NOTE:  You must input your trip at least 7 days in advance of your trip to the Planetarium.
